You will ensure effective and efficient business management systems and procedures are established and maintained, that all statutory reporting and compliance requirements are met, and that the financial needs of the Community members are addressed.
You will be responsible for the oversight of ongoing maintenance and repairs of all Community properties and will work with the Community's external service providers to assist in the management of property purchases, disposals and leases.
The role is a permanent, part-time position and would suit an experienced person looking for work-life balance and who enjoys working in a small team.

The Spirituality Ministry is a new ‘whole of ministry’ approach initiated by the Sisters of Saint Joseph (Sisters), and a response to the spirituality needs in its community. Offering programs across its spirituality and heritage centres throughout Australia, the Spirituality Ministry will further develop and consider new approaches and create new paths of creativity that meet the changing culture of the Australian community.
We are seeking a dynamic Executive Assistant with exceptional organisation and planning skills to assist the Spirituality Ministry’s CEO and Leadership Team.
About the Position
The role of Executive Assistant is a pivotal role in the smooth running of the office. Reporting to the CEO, your key responsibility is to assist them by providing administrative and executive level support, and ensuring that their time is used in the most efficient way so that they can continue their work as leader of the Spirituality Ministry.
As the first point of contact on all matters, you will manage emails, coordinate correspondence and support the CEO to ensure the day-to-day operational matters are managed in the most effective way. You will be a key point of contact for key stakeholders and support a culture that is collaborative. You will also take on small project work and assist the CEO and Leadership Team manage key matters, so the ability to be discrete and to handle matters with diplomacy and sound judgement is key to this role.
Meetings are an important aspect of the CEO’s role, so you will record minutes of meetings and follow up matters arising and action items following those meetings. You will assist with the keeping of records and ensuring all documents and files are maintained and kept confidential.
A strong builder and maintainer of relationships, you will liaise with a wide variety of internal and external stakeholders who are involved in the life and mission of the Spirituality Ministry.
This position is a permanent full-time role, with some flexibility to work from home, The role is located at Baulkham Hills with ample parking available and close to public transport.
About You
This role will suit someone who has initiative and great communication and interpersonal skills. You will have the ability to act with discretion, judgement and diplomacy, and have strong organisational and time management skills.
Key Requirements for the role include:
An appreciation of and commitment to supporting the mission and purpose of the Spirituality Ministry and the Sisters of Saint Joseph
Minimum of 5 years’ experience as an EA to a senior executive or leader
Ability to accurately compile and record minutes of meetings
Ability to problem solve and meet work deadlines with limited supervision
Well-developed interpersonal and communication skills, including strong written and verbal skills
Advanced skills in Microsoft Office suite
Ability to act with discretion and to maintain complete confidentiality
